Bookkeeper (position description)

  • Hired by: Director of Roastery, Director of Retail, one member of executive leadership team
  • Reports to: Director of Roastery, Director of Retail, Executive Leadership Team
  • Mananges: wholesale and retail books

Weekly Tasks

  • pays bills on time and in a cash appropriate manner
  • submits payroll in a timely manner
  • onboards new employees to payroll company
  • produces weekly AR report for sales and service meeting
  • receives all payments
  • enters daily sales reports for retail locations
  • invoices staffing and revenue services for licensed partners
  • manages paid time off calendar
  • meets weekly with Director of Roastery and Director of Retail

Monthly Tasks

  • reconciles all checking and credit accounts on a monthly basis
  • backs up company files on QuickBooks once a month
  • pays sales tax and gross receipt tax
  • makes inventory adjustments according to each locations counts
  • completes monthly P&L report with oversight of selected member of executive leadership team


  • flexible scheduling and ability to work some hours off site

  • pay starts at $15/hr (or higher with experience)

Necessary skills

  • strong mathematic capabilities
  • ability to use spreadsheet software like Microsoft Excel and/or Google Sheets 
  • understanding of balancing bank accounts and reconciling accounts
  • Comfort working with and taking direction from team members of any sex, gender, race, age, or religious creed

Helpful experience/skills

  • Passion for customer service and genuinely helping people
  • Proficiency in Quickbooks, Microsoft Office, and GMail
  • Experience working with specialty coffee
  • Ability to work in a confidential work environment with sensitive information
  • Ability to analyze financial data and prepare financial reports (profit and loss)
  • Strong organizational, multi-tasking, and time management skills
  • High attention to detail and strong sense of urgency
